The Administrative Assistant will be the main point of contact for the department and will be very involved in the daily workflow. They will support the Production Team, which may include, but is not limited to:


  • Accurately enter project details into our CRM (client information, documents, pictures, plans, permits, payments, etc).
  • Complete all paperwork related to permits, supplies, equipment scheduling, and HOA documents, with precision and on time.
  • Follow up with clients upon project completion to ensure satisfaction and to address billing or service requests, as needed.
  • Assist with overflow of incoming lead calls.


Responsibilities

  • Answer and direct phone calls
  • Organize and schedule appointments
  • Write and distribute emails, correspondence memos, letters, faxes, and forms
  • Assist in the preparation and distribution of internal reports
  • Adhere to all office policies and procedures
  • Act as liaison for clients AND service teams to relay project details and be sure all parties are always in sync
  • Ability to clearly communicate with clients in a positive and supportive manner


Skills

  • Customer service: 1 year (Required)
  • Proven experience as an administrative assistant or office admin assistant
  • Understanding of typical office systems, procedures, and etiquette
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in Google Docs
  • Excellent time management skills and the ability to prioritize work
  • Strong attention to detail and problem-solving skills
  • Exceptional written and verbal communication skills
  • Superior organizational skills with the ability to multitask
  • High School diploma required; additional qualification as an Administrative assistant or Secretary would be a plus
